AV Myth #1: You MUST Use the In-House AV Company
Our clients often tell us that the venue they have booked for their next event has informed them that they MUST use the in-house audio visual company and this is never the case. Venues will often strongly encourage you to use their in-house audio visual services as they receive a commission of up to 60% of the in-house audio visual fees.
So why should you bring in your own audio visual supplier for your next event? Due to commission structures, in-house audio visual companies are often much more expensive. They often do not have access to specialized or updated equipment and in-house staff are not as experienced as outside specialists. The relationship with your audio visual supplier is often one of the most important parts of your event. They understand your needs, budget, expectations, and can anticipate event hurdles.
Venue staff will often argue that the in-house specialists know the venue better than outside vendors. This is not the case. Like many outside audio visual suppliers, we provide event services in numerous venues and encourage that all of our clients attend a site inspection to anticipate any issues.
When booking a venue with an in-house audio visual company, watch out for the fine print in your contract! Some venues will charge an ‘outside AV fee’ while others may require you to book power and rigging requirements through the in-house company. Make sure you negotiate these fees in your contract.
You should also be aware of union contracts. Some venues are unionized and as a result, you may be required to use the unionized labour.
